Manage a Shared Model Railroad Club Inventory

Define what the club owns

Separate club property from items merely loaned by members. Record the owner, acquisition source, approval or donation context, current custodian, and status. A stable club asset ID prevents confusion when equipment is moved, rebuilt, or relabeled.

Use roles instead of a shared password

Each person should use an individual account with only the access needed for that responsibility. Define who may manage membership, edit records, upload documents, produce exports, or review financial information. Remove or change access promptly when a volunteer role ends.

Make storage and custody visible

Use a consistent hierarchy such as clubhouse, room, cabinet, shelf, and box. Record temporary custody for repairs, exhibitions, loans, or member workbenches. The inventory should answer both “where is it?” and “who is responsible for returning it?”

Preserve maintenance and decision history

Keep service notes, parts, photographs, test results, manuals, and future reminders with the equipment record. For purchases, transfers, and disposals, preserve the decision and supporting documents permitted by club policy. This reduces dependence on one long-serving member’s memory.

Plan officer transitions before they happen

• Review managers and member roles.
• Confirm the club’s primary contact and billing responsibility.
• Reconcile equipment in off-site custody.
• Export or back up the inventory according to club policy.
• Record unfinished projects and upcoming service.
• Transfer responsibility through documented accounts—not shared credentials.
