What every inventory approach should do

At minimum, a collection system should identify each item, record its current status and location, preserve useful notes, and provide a dependable backup or export. The differences become clearer when you add photographs, supporting documents, changing values, installed components, maintenance history, DCC details, club access, and reports.

Do not choose on feature count alone. Decide which records you will actually maintain and how you need to retrieve them at the layout, workbench, train show, storage area, or insurance review.

When a spreadsheet remains a good choice

A spreadsheet can be an excellent first-pass inventory for a small collection. It is transparent, easy to customize, and widely understood. Use one row per item, stable column names, controlled terms for categories and condition, and a unique ID that will survive later migration.

Its limits usually appear when one item needs several photographs, multiple documents, a changing valuation history, installed components, maintenance events, hierarchical storage, loans, or many related records. Those can all be represented in a spreadsheet, but the workbook becomes a database maintained by hand.

When dedicated software earns its place

Purpose-built software is most useful when the collection is large enough that relationships matter: a decoder belongs to a locomotive, service belongs to an item, a box belongs on a shelf, and a value needs evidence and a date.
