Build a hierarchy that matches the room

Start with stable levels: building or room, cabinet or shelving unit, shelf or drawer, then box or bin. Use short, unique labels such as Train Room → Cabinet B → Shelf 3 → Box 12. Avoid descriptions such as “large box” or “upstairs” that can refer to several locations.

Choose whether to label an item or a location

An item label follows one specific record. A storage label opens a location containing several records. Item labels are useful for large boxed equipment, display pieces, and assets that move independently. Storage labels work well on shelves, drawers, totes, and club cabinets.

Keep QR destinations private

A QR code is only a convenient link; it should not bypass authorization. TIM’s labels open protected item or storage records and require an account with access to the intended inventory. Do not encode private collection details directly into a public label.

Use a durable labeling routine

• Test scans on the phones or tablets likely to be used.
• Keep human-readable location names beside QR codes.

Audit one area at a time

Scan a storage label, compare the listed records with the physical contents, correct discrepancies, and move to the next location. A periodic location audit is more manageable than re-inventorying the entire collection.
